Services

Websites, data, AI and automation, and ongoing tech support for small and mid-sized businesses in Southeastern Pennsylvania.

Every engagement is scoped to what you actually need. Reach out and we’ll work out a fair price together, in writing, before any work begins.

Websites

Most new clients start here. A website is the most visible thing a business has online, and the easiest place to see the difference good work makes.

87% of consumers have abandoned a website altogether because it didn’t feel trustworthy. — Clutch, 2025 (opens in a new tab)

Website design & build

A new website designed around how your customers actually decide to get in touch: clear about what you do, where you are, and how to reach you, and fast on a phone. We work out the structure with you, help write or tighten the copy, design it, build it, and launch it on hosting that costs very little to run.

How our website projects and ongoing management work

A good fit if

Your current site is dated, slow on phones, hard to update, or doesn’t say clearly what you do. Or you’re a newer business that needs a first site done properly.

What’s included

  • A planning session on who your customers are and what they need to find
  • Custom design, with a mockup you approve before we build
  • Help with the writing, structured for search, including local search
  • A mobile-first build that loads quickly
  • Contact forms, maps, and booking links set up and tested
  • Simple analytics so you can see what’s working
  • Launch, domain and email setup, and a walkthrough for simple edits

Ongoing website management

Websites need upkeep: software updates, security patches, backups, certificate and domain renewals, and a steady trickle of small changes like new hours, a new service, or a staff change. We handle all of it for a flat monthly fee, so the site stays current and nobody on your team has to learn how to edit it.

A good fit if

We’ve built your site, or you have a site that works fine but nobody is really looking after it.

What’s included

  • Hosting, security certificate, and domain renewals
  • Software updates and security patches
  • Regular backups and uptime monitoring
  • Small content changes on request: hours, menus, photos, new pages
  • A periodic check on speed and search performance, with notes in plain English

Data

Most businesses already have the information they need to run better. It’s just scattered, buried, or never written down in the first place.

Companies that are strong at using their data report meaningfully better results than those that aren’t, including higher operational efficiency (81% vs. 58%) and revenue growth (77% vs. 61%). — Harvard Business Review / Google Cloud, 2023 (opens in a new tab)

Dashboards & reporting

We build dashboards, usually in Power BI, that answer the questions you actually ask: what’s booked, what’s owed, what’s working, and what’s slipping. They refresh on their own from the systems you already use, so the Monday numbers are ready before the Monday meeting, and everyone is looking at the same figures.

How we plan and build dashboards your team can trust

A good fit if

Answering “how did last month go?” takes someone a day in Excel, or two people give you two different numbers for the same thing.

What’s included

  • A session on the decisions you make and the numbers behind them
  • Power BI (or similar) dashboards and reports that refresh automatically
  • Filters by date, location, service, or whatever matters to you
  • Scheduled reports emailed to the people who need them
  • Training so your team can read the reports and trust them

Data consolidation & tracking

The data is often the real problem: it’s spread across a bookkeeping system, a handful of spreadsheets, a CRM someone set up years ago, and a few people’s heads. We pull it into one place and clean it up so it agrees with itself. That usually surfaces things that were hidden, like which services actually make money, which customers pay late, or where jobs stall. Where something important isn’t being tracked at all, we set up a simple way to track it, including a basic CRM so leads and customers stop living in email inboxes.

A good fit if

The same information gets typed into more than one place, nobody fully trusts the spreadsheet, or you have a question about the business that nobody can answer with data.

What’s included

  • A map of where your data lives today and where each number comes from
  • Cleanup and consolidation of scattered spreadsheets and systems
  • Connections between systems so data is entered once
  • New tracking where there isn’t any, including basic CRM setup and data import
  • Documentation of what lives where, in plain English

AI & Automation

Practical uses of AI and automation that take routine work off your team’s plate, built on the tools you already use, with a person in charge of anything that matters.

How our AI automation, chatbots, training, and policy work

74% of small businesses using AI report it boosts productivity. — Intuit QuickBooks, 2025 (opens in a new tab)

Automation builds

We find the repetitive tasks that eat your team’s week, and hand them to software. That’s rarely “use ChatGPT more.” It’s usually a specific, recurring job: entering the same information into two systems, building the same report every week, sending routine follow-ups, or juggling schedules by email. We connect the tools you already use through Zapier, Make, or Power Automate, and add AI where a task needs something read, sorted, or drafted. Your staff review the results and keep the judgment calls.

Things we automate

  • Data entry. Invoices, receipts, intake forms, and web inquiries read automatically and filed into your accounting system, CRM, or spreadsheet.
  • Report generation. Weekly and monthly reports that assemble themselves from your systems, with a short plain-English summary of what changed.
  • Routine follow-up emails. Quote follow-ups, appointment reminders, review requests, and overdue-invoice nudges drafted or sent on schedule.
  • Scheduling. Booking links, calendar updates, and reminders that keep appointments and crews coordinated without a string of back-and-forth emails.
  • Proposals and RFPs. First drafts assembled from your past proposals, standard language, and current pricing, ready for your team to edit.
  • Inquiry routing and onboarding. New requests summarized and sent to the right person, and onboarding checklists and paperwork that go out without anyone having to remember.

A good fit if

Your team loses hours each week to repetitive admin work, or the same task gets done by hand every day or every week.

What’s included

  • A working session to map where the time goes, and which tasks are worth automating
  • Automation builds connected to the systems you already use
  • A human review step wherever a mistake would matter
  • Alerts if something stops working, and documentation of how it runs
  • Monitoring and adjustments after launch

AI chatbots

A chatbot that answers questions from your own information, not the whole internet. On your website, it can answer the questions customers ask every day, like hours, services, service area, and what to expect, and pass anything it can’t handle to a person along with the conversation so far. Inside the business, an assistant can answer staff questions from your handbook, procedures, and past documents.

A good fit if

Your phone or inbox fills up with the same questions, or new staff keep asking things that are written down somewhere but hard to find.

What’s included

  • Deciding what the chatbot should and shouldn’t answer
  • Setup using your own content: services, policies, FAQs, and documents
  • A clear hand-off to a person when it doesn’t know
  • Testing with real questions before it goes live
  • Regular review of what people ask, so answers keep improving

AI adoption, training & policy

Most teams are already using AI tools, just unevenly and without guidance. We look at how your business actually works and point out where AI helps and where it doesn’t, help you choose tools with appropriate data protections, and train your staff hands-on using their own real work as the examples. We also write a plain-English acceptable-use policy so everyone knows what’s fine to put into an AI tool and what isn’t.

A good fit if

You know staff are using AI tools and you’d like some guardrails, or you want your team using AI well before you invest in building anything.

What’s included

  • A review of where AI fits your specific workflows
  • Help choosing and setting up business-grade AI tools
  • Hands-on staff training on everyday AI tools
  • A plain-English AI acceptable-use and data-privacy policy
  • A follow-up session once people have had time to use it

Ongoing support

For businesses that need good technical judgment on call, without hiring for it full-time.

Fractional CTO retainer

An experienced technical person on call for a flat monthly fee, sometimes called a virtual CTO. Ask us before you sign a software contract or buy new hardware, when a vendor quote looks off, when an email looks suspicious, or when a vendor sends a security questionnaire you’re not sure how to answer. We also plan ahead with you, so technology decisions stop getting made in a rush.

Included in every retainer: we periodically go through your software subscriptions and licenses to catch overspending, tools that overlap, and seats nobody is using.

A good fit if

You don’t have in-house IT, or tech questions land on someone who already has a full-time job doing something else.

What’s included

  • On-call advice by email, phone, or video
  • Vendor and software decisions, including reviewing quotes
  • A second opinion before you sign a software contract or buy new hardware
  • Security questions, including “is this email a scam?”
  • Help reviewing a vendor’s security questionnaire
  • A regular review of software subscriptions and licensing
  • Planning check-ins so decisions aren’t made under pressure

Common questions

Straight answers to what people usually ask us first.

How much does a website cost?

It depends on the scope: how many pages, whether you need booking or forms, and how much writing help you want. We scope every project after a first conversation and give you a written price before any work starts, so there’s no meter running in the background.

Do you only work with businesses in Southeastern Pennsylvania?

No. We’re based in Southeastern Pennsylvania. We work with businesses in Philadelphia, West Chester, Media, Conshohocken, Ardmore, Wayne, Phoenixville, and more broadly across Philadelphia, Chester, Montgomery, Delaware, and Bucks counties. Most of what we do is remote, so we work with businesses further out too.

Will we own our website?

Yes. The domain, hosting account, content, and design are yours. If you ever decide to move on, we hand everything over.

What does AI automation actually mean for a small business?

Usually it means taking one repetitive task, like entering the same data into two systems, building a weekly report, sending routine follow-up emails, or drafting a proposal, and having software handle the routine part of it while a person reviews the result. It typically runs on tools you already pay for, such as Microsoft 365 or Google Workspace, connected with services like Zapier, Make, or Power Automate.

Is it safe to put business information into AI tools?

It can be, with the right tools and settings. Some consumer AI tools may use what you type to improve their models unless you change a setting or use a business plan. We help you choose tools with appropriate data protections, set them up properly, and write a short policy so staff know what’s fine to paste in and what isn’t.

What is a fractional CTO, and does a small business need one?

A fractional CTO is experienced technical advice on a part-time, flat-fee basis instead of a full-time hire. It makes sense when tech decisions like software purchases, security questions, and vendor contracts keep landing on someone who has a different job to do.

We already have an IT person or a web developer. Can you still help?

Yes. We’re glad to work alongside the people and vendors you already have, for example building a dashboard while your IT provider keeps handling devices, or taking over a website someone else built. We’ll be clear about who does what.

Do we have to sign a long contract?

No. Projects are scoped and priced individually, and ongoing website management and support don’t come with a long lock-in contract.

Not sure which of these you need?

Most people aren’t at first. Tell us what’s taking too long or not working, and we’ll tell you what we’d do about it, including when the answer is “nothing yet.”
